stakeholder engagement

The problem

Landholder records management: a patchwork

Small teams with a technical focus must manage community engagement and landholder records alongside their core project work — often with no dedicated land access function at all — so managing land and engagement records becomes a messy distraction.

Often no dedicated function

No one owns land access as a job — it rides along with everyone's core project work.

History scattered everywhere

Stakeholder history lives across email threads, shared drives, and spreadsheets — never in one place.

Records disconnected from relationships

Property title searches sit as PDFs or CSVs, disconnected from who owns what and what's been agreed.

Knowledge walks out the door

When someone moves on, the institutional knowledge can be hard to reconstruct.

None of this requires anything to go dramatically wrong — it's the ordinary cost of records that live across locations instead of in a system.

Disputes are harder to resolveWithout a clear record of what was said, what happened, what was agreed, disagreements can escalate rather than resolve quickly. Regulator inquiries also require clear evidence of engagement, often at short notice.
Delays cost real moneyRe-confirming lost or unclear records can hold up access windows, drilling programs, or construction schedules.
Trust erodes with landholdersInconsistent or lost history damages relationships and makes it harder to maintain a social licence to operate.
Turnover repeats the workWhen a liaison officer moves on, the next person often starts from scratch instead of picking up where records left off.

One system, purpose-built

Not a spreadsheet. Not a generic CRM. Not an enterprise SRM.

Landholder Connect replaces the spreadsheet-and-shared-drive patchwork with a single record of stakeholders and properties — without the cost or complexity of an enterprise SRM.

How the data model works

Everything connects back to the property

Landholder Connect is built property-first — stakeholders, engagements, and the actions that come out of them all stay linked in context, instead of floating as disconnected records.

01

Property

The parcel and title record — the anchor everything else attaches to.

02

Stakeholders

Every proprietor and contact linked to that specific property.

03

Engagements

Every interaction recorded against the right stakeholder — and property.

04

Actions

Follow-ups tracked through to completion, not lost in an inbox.

* You can also create a free-floating stakeholder — for example an individual or a community organisation — that sits alongside the property-based ones.

Core capabilities

What it actually does

Property and stakeholder records

Titles, proprietors, encumbrances and boundaries — imported straight from title searches and your data using intelligent data mapping. Multiple contacts per stakeholder, sentiment and interaction history, and next-action reminders.

Map land status

See your land access agreement status for every property, stakeholder sentiment, or your land access priority, visually on the dashboard.

Mail merge and engagement reporting

Filter your list any way you like and export a ready-to-send CSV or Excel file. Export filtered engagement records for statutory reporting.

Paper trail

Everything in one place — nothing is lost when people move between projects.

What needs doing, first

Before anything else, the dashboard shows what's overdue and what's coming — by stakeholder, by property, by owner — so nothing falls through the cracks.

Project oversight, by team member

A manager-level view groups every task, stakeholder, and property by who's responsible for it — so gaps in coverage are visible, not buried in individual lists.

Intelligent features

Fuzzy Stakeholder Matching

Catches "Susan Grant" and "Susan Elizabeth Grant" as the same person. This powers duplicate detection on every import.

AI Property Extraction

Reads land title PDFs and pulls structured fields — address, volume, folio, lot, plan, proprietors.

AI Duplicate Resolution

Suggests a match with a confidence score and a one-click "Accept AI Suggestion."

AI Email Parsing

Open an inbound email and get a suggested stakeholder match plus a sentiment read — accept it or don't, you're in control.

Engagement Summaries

Turns a stakeholder's full history — every meeting, call, and note — into a short briefing: what's been discussed, what's outstanding, what to watch for.

Draft Correspondence

Generates a subject and body from real stakeholder and engagement context — never invents dates or figures. Copy it into your own email, edited as needed; nothing is ever sent from within the app.

AI assistance runs throughout the actual workflow — matching, extraction, summarization, drafting, triage — not a separate feature you have to go looking for.

Built with the same rigor as the rest of the platform. Untrusted content is never treated as instructions, every AI response is validated before it's trusted, and all AI usage is rate-limited and logged.

Enterprise-grade security

Built to be trusted with sensitive records

Complete data isolation

Every organisation's data is scoped and enforced server-side on every request — no client can query or receive another organisation's records under any circumstance.

Server-side authorisation, every request

No client-side permission tokens to exploit; role changes and deactivations take effect immediately.

Six-level role hierarchy

From read-only Viewer up to Client Owner, so people only ever see what they need to.

Passwords are secure

Scrypt password hashing, HttpOnly/Secure session cookies, and enforced HTTPS with HSTS.

Security header suite & rate limiting

CSP, clickjacking protection, and brute-force lockouts on login; API requests are rate-limited.

Sensitive data never logged

Passwords, tokens, and API keys are automatically redacted before anything is written to logs. All client databases, document storage and email/file infrastructure, payment processing, AI processing, and hosting run on SOC 2 Type II / ISO 27001 certified providers. Landholder Connect's own controls are designed to meet these standards, though certification has not yet been obtained.

Why not an enterprise SRM?

Enterprise Stakeholder Relationship Managers are an overfit for lean teams

They're built to handle everything a stakeholder program could ever need — which means you pay, configure, and train for capability you'll never touch.

What enterprise SRMs are built for

  • Multi-year, multi-jurisdiction consultation programs across dozens of projects
  • Configurable workflows, custom taxonomies, and approval chains
  • A dedicated platform administrator to configure and maintain it
  • Formal procurement cycles and custom contracts

What a lean team actually needs, day to day

  • Who owns this property, and who do I call?
  • What did we agree, and when does it expire?
  • What's the next action, and who owns it?
  • A list I can filter and get mail merge info from

Landholder Connect answers the second list directly — without making you configure your way through the first.

Why Landholder Connect

Built by someone who's done this work

“Every new project felt like I was building effective property and stakeholder records management from scratch — I had my own systems, but new projects had different ones and a plethora of information sources. Knowing where to go just to get information, let alone how to record it, can be a nightmare!”

— Founder, Landholder Connect

15 years across minerals exploration, hydrogeology, and land access consulting — including hands-on liaison work on minerals exploration, major transmission, and rail infrastructure projects.

Landholder Connect exists because the only options were a spreadsheet, or a system built for majors with a dedicated community-relations department. Nothing sat in between — until now.
